We coordinate timing, allergen handling, and sponsor logistics directly with your activation team or planner.
Yes. Multi-day retreats are a core demand category — breakfast service, working lunch, and dinner across 2-5 days. Many Red Mountain and Starwood estates have professional kitchens; for those without, we bring full mobile kitchen setup. We coordinate menu progression so meals don't repeat motifs across the retreat.
Yes — multi-wave service nights are the operational reality of F&W Classic week, when brand-activation venues often run a 6:30 PM seating, an 8:30 PM seating, and a late-night reception in the same evening. We staff and provision for that explicitly — a chef-led culinary team scaled to wave count, plate-up timing built around your run-of-show, and a reset cycle that doesn't visibly drag between waves.
Yes. Ideas Festival speaker dinners and Security Forum-adjacent private events are part of our regular calendar. For events with security clearance or pre-screening protocols, we coordinate with your event security team on staff vetting requirements, venue access procedures, and any specific operational standards. Yes. The Aspen wellness scene is sophisticated; layered dietary asks are routine. Gluten-free, dairy-free, nut-free, vegan, kosher-style, functional medicine-aligned, raw/whole-food, and complex layered restrictions (e.g., gluten + dairy + nightshade-free) are standard across corporate groups. We collect dietary requirements during the questionnaire phase and design parallel menus that don't single anyone out.

Reschedules are handled case-by-case. Generally: 90+ days out, full deposit transfers with no penalty. 30-90 days, partial transfer with re-stocking adjustment. Headcount adjustments are far more common — for corporate events we typically allow +/- 10% headcount up to 7 days before the event. Festival-week reschedules are tighter given peak demand.
